Operational objectives include tangible actions that are directly related to the input and output of organizing an event.

Time : Were the planned actions completed on time? Were there delays? Were doors opened on time? Was the agenda met? Did the speakers keep up?

Performance within budget:

Attendance : Counting the number of attendees is easy, the hard part is deciding the number of attendees at which we will consider it a success. Every event is different. In some it is better to compare the number of attendees with the number of guests, in others, the number of attendees compared to previous editions, or even leads or sales compared to attendees.

# 2. Brand awareness
Although increasing brand awareness is not always an objective, especially at events for clients or partners, it is necessary to measure the impact achieved.

Social Performance : We measure the “noise” achieved in terms of people using your event tag on Twitter, sharing your photos on Instagram, Facebook mentions, etc. and compare it to other periods.

Press Mentions : Similar to social media performance, but for both online and offline publications. Analyzing this helps us measure the success of the event in terms of brand awareness.

Word of mouth : Direct recommendations from friends and coworkers are the most powerful means of communication, but also the most difficult to measure. We usually ask attendees how they heard about the event in a final survey.

# 3. Attendee satisfaction
The way to summarise and transfer sensations into a numerical indicator that gives us the measure of satisfaction that we use in the B2B events organised by PGR is the question: How likely are you to recommend the event/product/service to a friend? And the answer is a number from 1 to 10. Surely you have answered this question before, right?

People who rate the event 9 or 10 are “Promoters” (very loyal and likely to advocate for us). Those with 7 or 8 are “Passives” (satisfied but not particularly loyal or committed). Finally, the group between 0 and 6 are “Detractors” (unhappy with our service and likely to actively express their dissatisfaction).

The overall satisfaction index is calculated based on the number of Promoters, Detractors and Passives we get. It is also advisable to enable a way to leave comments and ratings, through which attendees give us feedback and help us determine the success of the event.

Engagement : Engaging and getting the commitment of attendees is undoubtedly one of the most important aspects of an event. The worst thing that can happen to us is that at an event the attendees do not feel like protagonists.
During the event we ask them to network, participate and interact. When this happens with attendees, it means that we are turning professionals into brand advocates.
# 4. Impact on business
This is a very important success criterion, whether it is a sales event or a product or service promotion. How do you measure the success of the event in terms of its impact on future business?

Attendees : The main goal is to increase the customer base. We ask if we have gained new or potential customers for your business or for future events.
Partners : Have we reached out to new Partners, new suppliers? How does the event impact the current Partner network? How many new Partners have we acquired?
Sponsorships : Have we attracted new sponsors? Are existing ones going to spend more? Have we secured new contracts?
In conclusion, the point is that if we are able to have the data, we will be able to know and differentiate which actions make sense and why. If we calculate the return on investment, we can use our time much better because we will know what it is worth and what is worth investing in.
